About PDF Documents

Human Resources publishes many of its downloadable documents in PDF format. PDF stands for "Portable Document Format" and is created by Adobe Acrobat. PDF allows documents to appear and print consistently across different computers (e.g. Macintosh and Windows) using Acrobat Reader.

Getting Acrobat Reader

Download the reader from Adobe's home page free of charge. Versions are available for both Macintosh and Windows.

Accessibility

If you are using special screen reading software such as JAWS, then converting PDF documents to web pages (HTML pages) may be necessary. A PDF to HTML converter is available at: http://access.adobe.com/simple_form.html . To use this:

  1. Copy the URL of the PDF document you wish to convert.

  2. Paste this URL into the online form at the above address.

Further information on PDF document accessibility can be obtained from http://access.adobe.com/

Printing

Recommended settings to use in Acrobat Reader are as follows:

  • Under the File menu, choose Page Setup and set Paper: to A4 .

  • Under the File menu, choose Print , and tick Shrink to fit.

These settings prevent you from losing the bottoms of pages when you print.

Tips

Finding text:

  • Click the binoculars icon in the toolbar.

Selecting text:

  • You will first need to click the T icon (in Acrobat 4 or 5) on the toolbar.

  • Now you can select the text as you normally would.

Printing Problems

If the above error message appears when attempting to print PDF documents, try using the "print as image" option in the print dialog box as shown below.

  • From the File Menu, Choose Print

  • Click "Print as Image" on the far right of the dialog box.
